Responsible and Ethical AI Policy

At Ensora Health, we help therapists expand their community impact and simplify their daily routines. We believe in the power of technology to enhance care delivery, but only when it is used responsibly and ethically. With Artificial or Augmented Intelligence (AI) advancing in ways that can add value to your practice, we are committed to applying it thoughtfully, safeguarding privacy, ensuring fairness, and keeping you in control every step of the way. As we design solutions and product features that incorporate AI, we pledge to do so in accordance with the principles set out below, which are informed by guidance from the U.S. Department of Health & Human Services and applicable federal and state laws governing the use of AI in behavioral, mental, and rehabilitative health services. We want to make it easier to care for your clients and community, but we will never compromise on these standards. Above all, everything we build is organized around a single mission—Practice Success—and we adopt AI only in service of it. Your clients and community trust you, and you can trust us. Ensora Health maintains and continuously evaluates administrative, physical, and technical safeguards designed to protect health information, reduce security and privacy risks, and maintain compliance with applicable HIPAA requirements.

Every AI capability we offer is measured against this purpose. We integrate AI across our platforms and products to help you achieve Practice Success, delivering better care, streamlining operations, and improving outcomes.  We will not adopt AI that does not advance these goals for your practice and the clients you serve. 

Transparent and Explainable 

We believe you deserve full visibility into how AI supports your work and that you should be able to understand how data is being used and how AI systems make decisions. We will endeavor to provide appropriate notice when content is generated or materially assisted by AI and we will explain how our tools are designed to assist you. We never adopt AI for its own sake, but rather only where it provides efficiency, accuracy, or other benefits that we could not otherwise offer. 

Privacy-Protecting and Data Responsible 

Our AI services process Protected Health Information (PHI) only within Ensora Health’s protected, HIPAA-compliant environment and solely as necessary to provide and support the services.  We do not use client PHI to train AI models. We may, however, create and use de-identified data, usage data, and other non-identifiable data derived from customer data to develop, train, validate, and improve our AI systems and to operate and enhance our products and services, in each case as described in our Master Subscription Terms and Conditions. De-identification is performed in accordance with HIPAA and other applicable laws. We do not sell client PHI, and we do not share client PHI with third parties other than as necessary to provide our services. De-identified and usage data may be used by us for purposes that include product improvement, analytics, research, public health activities, and Practice Success Insights (PSI), including cross-practice benchmarking using de-identified and aggregated data.  

Our commitment not to train AI models on client PHI is a fixed design principle, not an opt-out setting you must find and enable. Where an AI feature records or transcribes a session, we do so only with appropriate consent, including from both the clinician and the client where required. Recordings and transcripts created to support documentation are retained only as long as needed to generate the associated output and are then deleted. 

Reliable, with Human Oversight 

AI is never the decision maker, you are. Our tools are designed to complement your clinical and operational expertise, giving you the final say in all such decisions. We help you understand what the AI does and does not do through training sessions, documentation, or other means. Where an AI feature is present during a client session, its role is to help you document, not to direct the session. We design our tools so they do not prompt, coach, or suggest actions to you while a client is in the session; any AI-assisted output is prepared for your review after the session, as a draft you edit and finalize. 

AI-generated outputs are informational drafts only. They may contain errors, omissions, hallucinations, or biases, and they do not constitute medical advice or the practice of medicine or any other licensed healthcare profession. You are responsible for reviewing, validating, and finalizing all AI-assisted documentation, and for ensuring that any output relied upon for clinical use, patient communication, billing, or regulatory filing is reviewed by an appropriately licensed and credentialed clinician. 

Accountable and Responsive 

We are committed to listening to our users and stakeholders, and we have a process in place to quickly identify and address any concerns. Our use of AI is governed by a formal framework overseen by Ensora Health’s Compliance and Security Council, and when we use our AI capabilities to process PHI on behalf of a covered-entity customer, those capabilities operate within Ensora Health’s HIPAA-compliant infrastructure under a Business Associate Agreement with that customer.  

You are responsible for using our AI features in compliance with all applicable laws, including those governing consent, recording, and the retention of records.
