1. How long does it take you to complete daily documentation for a single client?

Efficient therapists often finish daily notes in under 15 minutes – sometimes much faster with good templates and systems. The goal is to complete notes right after a session while details are fresh, helping you avoid “pajama time” – finishing charts late at night. To help, many are shifting from manually typing long narratives to using digital tools for standardized note entry – with features like quick phrases and pull-forward notes to speed up the process. 

2. What is your client cancellation or no-show rate?

Cancellations and no-shows are a major drain on revenue and productivity. While an 8-15% no-show rate is average, leading practices work to get this under 10%. 3. How would you describe your claims submission process?

A financially healthy practice should aim for a 98% first-pass acceptance rate. High denial rates don’t just delay payment; they mean your team is wasting time chasing payments, correcting coding errors, and resubmitting claims. Whole-person care relies on strong teamwork – and teamwork depends on quick, secure communication. We know from the results of our Future of Therapy survey that whole person care isn’t yet the norm, but certainly a future goal for many therapists. Start by pinpointing your biggest administrative hurdle – is it documentation, billing, or scheduling? For billing issues, try a one-week “denial audit”: track every denied claim, note the reasons (e.g., coding error, missing info), and focus on fixing just the most common issue first. For documentation, look into customizable EMR templates designed for rehab specialists. Small changes here can free up hours every week. 

11-17 points: Solid foundation with room to grow 

You’re on the right track, but information gaps are creating extra work. If you use different platforms for scheduling, billing, and notes, you’re likely re-entering data.
