Can parents, guardians, or other caregivers use the portal on behalf of a client?

Yes. TheraNest’s client contact network lets you authorize parents, guardians, and other responsible contacts to complete intake forms, request appointments, send secure messages, and make payments on behalf of a client. You control exactly what each contact can and cannot do through configurable permission settings. Authorized contacts cannot access clinical content like case information, treatment plans, or progress notes. This makes the portal practical for practices that work with minors, families, or adults who have a caregiver involved in their care.
Does the client portal sync with my TheraNest calendar and billing?

Yes. Everything that happens in the portal flows directly into your TheraNest account. When a client or authorized contact submits an intake form, the information populates the client record. Appointment requests appear based on the availability you’ve set, so there’s no manual calendar entry. Payments made through the portal are recorded in billing automatically. Your team doesn’t need to re-enter data or reconcile across systems. The portal is part of TheraNest, not a separate tool bolted on.
Can I collect payment before sessions?

Yes, when TheraNest’s credit card processing is enabled for your organization. Clients and authorized contacts can make payments through the client portal, view their payment history, and print invoices. Payments made through the portal notify the assigned clinician and the organization administrator.
Will setting this up add work for my team?

There is some initial setup involved. An organization administrator controls which portal features are active for the whole practice: intake forms, self-scheduling, secure messaging, and online payments each need to be turned on. Individual clinicians then configure their own settings for features like self-scheduling and service types. Once setup is complete, the portal handles client intake, reminders, payments, and messaging without staff involvement.
Can we roll features out gradually?

Yes. TheraNest lets you enable client portal features one at a time from your organization settings. Many practices start with intake forms and online payments, then add self-scheduling or secure messaging once the team is ready. Telehealth access through the portal depends on your plan. There’s no requirement to activate everything at once.
Do clients need to download an app?

No. TheraNest’s client portal is browser-based. Clients and authorized contacts can access it on a phone, tablet, or computer without downloading anything. The portal is fully responsive, so it works across screen sizes. Clients join telehealth sessions through the portal the same way.
Can we put our practice name on the portal?

TheraNest uses the information you enter in your organization profile to identify your practice throughout the portal experience. Your portal login and sign-up URLs use your organization’s site shortname in the format shortname.theranest.com, making it recognizable to clients when you share the link.
How is this different from other EHR client portals?

Most EHR client portals are built for a single adult managing their own care. TheraNest’s client contact network supports multi-party access with role-based permissions. A parent can manage intake forms and appointments for a child. An authorized contact can make payments for an adult client who needs support. Access is configurable at the organization level, so practices working with minors, families, or adults with caregivers can run the portal in a way that reflects how their caseload actually works.
Is the portal included in all TheraNest plans?

Yes, the client portal is included across TheraNest plans. The Essentials plan (starting at $29 per therapist per month) includes intake forms and online payments. The Advanced plan (starting at $59 per therapist per month) adds online booking and secure messaging. The Premier plan (starting at $89 per therapist per month) adds telehealth.
What if some of my clients won’t use a portal?

TheraNest supports hybrid practices. Clients who prefer phone or in-person coordination continue working through your team the same way – scheduling, documentation, and billing all function normally without portal involvement. The portal gives self-sufficient clients and engaged families an option that doesn’t require staff time, but it’s not an all-or-nothing system. You decide which clients to invite and when.
Is this actually HIPAA-compliant for multi-party access?

Yes. TheraNest is HIPAA-compliant, and the client contact network is built with role-based access controls. Authorized contacts can only access the administrative functions you’ve enabled – forms, appointments, and payments – and cannot view clinical records. Each portal account requires a unique email address to protect client privacy and prevent unauthorized access across accounts.
